Production Assistant

The Production Assistant provides administrative and operational support to multiple sales producers. This role helps ensure the sales team operates efficiently by coordinating schedules, maintaining organized records, assisting with proposal preparation, and acting as a liaison between producers and internal partners. The ideal candidate is highly organized, proactive, and comfortable working in a fast paced environment that requires strong communication and multitasking skills.

Responsibilities include:

• Provide administrative and office support to multiple sales producers.
• Maintain files and records in an organized and up to date manner.
• Field incoming telephone calls and route messages as needed.
• Schedule appointments and meetings with prospects and clients.
• Assist Customer Service Representatives and producers with coordinating the submission of proposals.
• Track producers' sales activity and assist with preparing and processing expense reports.
• Serve as a liaison between traveling producers and internal office staff or business partners.
• Perform basic word processing, internet research, and document preparation as needed.
• Maintain working knowledge of company procedures related to policy and account changes.
• Run occasional errands and support general office needs when required.
• Perform additional administrative duties as assigned by management.

Requirements include:

• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities in a fast paced environment.
• Strong verbal and written communication skills.
• Self starter with a positive, solution oriented mindset.
• Ability to work independently while collaborating with internal teams.
• Proficiency with Microsoft Office applications, including Word and Excel.
• Comfortable using office equipment and agency systems.

Education:

• High school diploma or equivalent required.

Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
