Job Description

Team Assistant

As we continue to grow, we're looking for a dynamic and proactive Team Assistant to join our NYC team and help ensure our operations run smoothly and our culture thrives. We're looking for someone who's reliable, detail-oriented, and thrives in a fast-paced, high-performance environment. This role will be 20 - 30 hours per week, primarily in our Manhattan office, though with some flexibility to work from home on occasion.

About us:

Orbit Partners is the leading global advisory firm connecting the best Industry Advisors to the best Private Equity Investors for high-impact collaborations. We support our clients in making better-informed investment decisions and building value-creation angles through collaborating with industry leaders who have the relevant expertise. Orbit Partners' international client base includes most tier-1 Private Equity firms, and we operate globally with offices in London, Paris and New York. We only ever partner with one fund per deal situation. Our focus is on a select group of the most impactful Advisors, who can work in exclusivity with our clients to make a real difference.

Our culture:

We're passionate about excellence, take pride in what we do, and are honoured to serve a fantastic client base with high expectations. You'll be joining a supportive team of talented, and ambitious people, who enjoy spending time together inside and outside of work. Socials, team events and our annual offsite help us strengthen the team spirit that underpins our daily work.

The role:

As our Team Assistant, you'll be at the operational backbone of our office, ensuring that day-to-day activities run smoothly and that our team, clients, and visitors have an exceptional experience. Your responsibilities will include:

  • Data entry and other administrative tasks on our CRM, including creating user and account profiles, and uploading data relating to private equity deals.
  • Maintaining and organising printed materials for the commercial team, including deck printing, binding, and presentation prep.
  • Scheduling internal and external meetings for the commercial team, including client calls.
  • Basic tech support for the team and liaising with our operations team regarding trickier issues.
  • Managing office facilities, supplies, equipment, and maintenance.
  • Supporting new joiners with onboarding logistics: headshots, Wi-Fi credentials, tech setup, Q&A, and training schedule coordination.
  • Organising team socials, the annual summer offsite and the Christmas party.
  • Facilitating events, such as CSR events or Assessment Centre days by organising catering, room bookings etc.
  • Fostering a positive office culture through team-building activities, in conjunction with the Human Resources team.
  • Ensuring compliance with health and safety regulations.
  • Acting as the first point of contact for office-related queries.
  • Monitoring office budgets and expenses.

About you:

  • You will be a self-starter with a strong work ethic, proactive mindset, and a desire to own your work.
  • You'll have previous experience in an office environment, ideally in an administrative, team assistant, office coordinator, or similar role.
  • You'll have excellent attention to detail and strong written and verbal English communication skills.
  • You'll be a collaborative team player who can multitask and able to manage competing priorities.
  • You'll have proficiency in working with systems such as the Microsoft Office suite and SharePoint.
  • Experience with Salesforce or similar CRM platforms would be an advantage.
  • Basic tech knowledge is advantageous.

What we offer in return:

  • Annual compensation of $70,000 - 77,000p.a (depending on experience), pro-rata.
  • Annual performance-based bonus.
  • Private medical insurance.
  • Pension plan.
  • Enhanced family leave (maternity, paternity, adoption).
  • Wellness benefits including Wellhub membership.
  • All-expenses-paid annual company offsite, holiday party, and socials.
