Senior Executive Coordinator, People Team

Location: San Rafael, CA (Hybrid 34 days onsite) Pay: $40.00 $42.00/hour Duration: 1-Year Contract

Overview

We are seeking a highly experienced Senior Executive Coordinator to support the Chief People Officer (CPO) and People Leadership Team (PLT). This role requires a proactive, detail-oriented professional who thrives in a fast-paced environment, handles sensitive information with discretion, and anticipates needs before they arise.

Key Responsibilities

• Manage complex global calendars, scheduling across multiple stakeholders and resolving conflicts
• Coordinate logistics for People Leadership Team (PLT) and global team meetings (agendas, presenters, materials, minutes)
• Support the CPO with presentation creation and editing
• Facilitate communication and ensure alignment across the People Team
• Create purchase orders and assist with vendor contracts in partnership with Legal and Purchasing
• Coordinate travel arrangements and expense reports (Concur)
• Troubleshoot basic IT issues and coordinate equipment requests
• Maintain distribution lists and support internal communications
• Coordinate company-wide People Team announcements
• Support onboarding and offboarding processes
• Handle ad hoc administrative requests as needed

Qualifications

• 8+ years of executive-level support (VP, SVP, EVP, or C-suite)
• Strong experience managing high-volume calendaring and meeting logistics
• Proficient in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint) and Concur
• Excellent communication skills across all levels, including executives and external partners
• Strong attention to detail with the ability to prioritize multiple tasks and meet deadlines
• Proven ability to handle confidential information with discretion
• Proactive, self-starter with strong problem-solving and organizational skills
• Experience supporting HR/People teams preferred
• Bachelor's degree preferred
